Managing quality equipment and calibration records in SavantPLM


Overview

The Equipment view tracks the quality instruments, gauges, and tools used in your inspection and measurement processes. For each piece of equipment you can record identification details, calibration frequency, and a complete calibration history.

SavantPLM automatically calculates the next calibration due date based on the last calibration date and the calibration frequency you set. Equipment that has passed its due date is flagged as Overdue.

⚠ Overdue equipment appears with a red badge in the list view and on the detail page. Only log calibrations for equipment that has actually been calibrated — do not use the system to mark equipment as "compliant" without a real calibration event.


Equipment List View

The equipment list shows all instruments registered in your workspace. Each row displays the equipment number, name, manufacturer, model, location, calibration frequency, last calibration date, next due date, and current calibration status.

Use the search box to find equipment by name, manufacturer, model, or serial number. Use the filter buttons to narrow by calibration status.


Status Filters


Adding Equipment

Editors with the calibration management permission can add new equipment using the form at the top of the list view (unlock the view first). Enter at minimum a name and click Add Equipment. All other fields can be filled in on the detail view after creation.


Equipment Fields

FieldDescription
EQ #Auto-assigned equipment number (displayed as EQ-000001).
NameDescriptive name of the instrument — e.g. "Digital Torque Wrench, 5–50 Nm".
ManufacturerThe equipment manufacturer.
ModelModel number or name.
Serial NumberThe instrument's serial number for unique identification.
LocationWhere the equipment is normally kept — e.g. "ASSY-01", "QC Lab", "Tool Crib".
StatusActive or Inactive. Set to Inactive to retire equipment that is no longer in service.
Calibration Frequency (days)How often this equipment must be calibrated. The next due date is calculated automatically from this value and the last calibration date. Leave blank if the equipment does not require periodic calibration.
NotesAny additional information — typical use, special handling requirements, applicable standards.

Equipment Detail View

Click an equipment number in the list to open its detail view. The detail view shows:


Recording a Calibration

To log a new calibration event, open the equipment detail view and click + Log Calibration. Fill in the calibration details and click Save. The next due date is recalculated automatically based on the new calibration date and the equipment's frequency setting.


Calibration Record Fields

FieldDescription
Cal DateThe date the calibration was performed.
Next Due DateWhen the next calibration is required. Auto-calculated from cal date + frequency, but can be overridden manually.
ResultPass or Fail. A failed calibration means the instrument did not meet accuracy specifications and should not be used until re-calibrated or replaced.
Performed By (User)The internal team member who performed the calibration (if done in-house).
Performed By (Vendor)The external calibration lab or vendor (if sent out).
Certificate NumberThe calibration certificate or report number issued by the lab.
NotesAny findings, measurement results, or notes about the calibration event.

Overdue Calibration

Equipment is marked Overdue when today's date is past the next due date recorded in the most recent calibration event. The Overdue filter in the list view lets you quickly identify all out-of-date instruments.

Standard quality practice is to quarantine and take out of service any measurement equipment that is overdue for calibration until a new calibration is recorded. SavantPLM flags the status but does not automatically restrict use — your team's quality procedures govern the response.
